Complete Records Management, Secure Records Storage, Mail and Courier Services
The Department seeks to engage suitably qualified organisation(s) to provide Complete Records Management, Secure Records Storage, Mail and Courier Services (the Services).
The Services are divided into the following Service Categories and also include the Services described in Clause 3 (Other Services and Project Work) of Attachment A, Statement of Requirement.
(a) Service Category 1: Complete Records Management, including the administration of the Departments Electronic Document and Records Management System (EDRMS), including helpdesk Services and Departmental Personnel training;
(b) Service Category 2: Secure Records Storage Services, including the efficient management of the Department’s record holdings and comprehensive reporting.; and
(c) Service Category 3: Mail and Courier Services including all associated day-to-day supporting Services, Courier Services for local, national, international, regional and remote locations and Sensitive and Specialist Freight Services.
PLEASE NOTE: The closing date in Austender for the DIBP RFT 02/15 has been extended to Tuesday 2:00pm 30 June 2015 (local time in Canberra, Australian Capital Territory).
Additionally, addenda queries have been extended to 5:00pm on 23 June 2015 (local time in Canberra, Australian Capital Territory).
Tenderers must meet the following Conditions for Participation in order to participate in the tender process:
(a) the Tenderer must not be named by the Workplace Gender Equality Agency as an employer currently not complying with the Workplace Gender Equality Act 2012 (Cth), unless the Tenderer has obtained a letter of compliance from the Workplace Gender Equality Agency and attaches this letter to its Tender or provides this letter to the Department separately prior to Closing Time;
(b) the Tenderer must confirm that, to the best of its knowledge after making diligent enquiry, neither it, nor its Subcontractors are currently engaging Illegal Workers;
(c) the Tenderer and its proposed Subcontractors are not listed as terrorists under section 15 of the Charter of the United Nations Act 1945 (Cth); and
(d) the Tenderer must confirm that neither it, nor any proposed Subcontractor, has a judicial decision against it relating to employee entitlements that is not under appeal or unpaid. nter the minimum conditions that potential suppliers must meet in order to participate e.g. Security Screening
Minimum Content and Format Requirements:
The Minimum Content and Format Requirements for this RFT are as follows:
(a) the Tenderer must provide its response as to whether it complies with each of the Conditions for Participation, where indicated in Attachment B (Tender Response Form);
(b) the Tenderer must attach to its Tender statutory declaration signed by an officer capable of binding the Tenderer's organisation substantially in the form of Annexure 2 to Attachment B (Tender Response Form) with all mandatory fields substantially completed and any optional selections made as appropriate to the Tenderer's circumstances;
(c) Tenders must include a pricing schedule substantially in the form Annexure A-4 (Pricing Schedule) of Attachment A (Statement of Requirement);
(d) all language, including in all attachments and supporting technical data, must be in English;
(e) unless otherwise specified in the Statement of Requirement, all measurement must be expressed in Australian legal units of measurement; and
(f) all prices must be stated in Australian dollars.
