Audio Visual Hardware, Software and Services for Collaboration Spaces

CSIRO through this RFT is seeking responses from suitably qualified and experienced service providers for the provision of Audio Visual Hardware, Software and Services including Design, Installation, Maintenance and Support of Collaboration Spaces. These Collaboration Spaces include Video Conferencing, Digital Signage and other ad-hoc Audio Visual installations across CSIROs 56 sites within Australia.
In relation to video conference endpoints this RFT includes:
• Installation of Video Conference (VC) endpoints and associated Video Conferencing equipment.
• Replacement of faulty video conference endpoints and associated Video Conferencing equipment with hardware supplied by CSIRO.
In relation to video conference endpoints this RFT excludes:
• Procurement of Video Conference endpoints and associated Video equipment and services.
• Configuration of Video Conference endpoints apart from network configuration to facilitate remote configuration by CSIRO staff.
CSIRO requires the supply of the following Goods and Services:
a) Ad-Hoc Audio Visual (AV) Design services to supplement CSIROs in-house Audio Visual designs.
b) A Product Catalogue of AV components updated with equipment required to implement AV designs (updated as Requested).
c) Procurement of AV components to support Collaboration Spaces, Video Conferencing, Demo Spaces and Digital Signage (excluding video conference codecs) from the Product Catalogue.
d) Installation and commissioning of AV components procured from the Product Catalogue together with other Audio Visual components and Video Conferencing equipment supplied by CSIRO for deployment of new and upgraded video conferencing, collaboration spaces, and other ad-hoc Audio Visual installations.
e) Warranty and Maintenance services for equipment procured through the Product Catalogue.
f) Remote hands for the purposes of AV and VC equipment installations where CSIRO staff are not available.
g) Proactive Maintenance of nominated High Profile Audio Visual installations including Meeting Rooms, Seminar Rooms and Auditoriums with same day response on faults in Metro areas. See Appendix 1 for room/space listing.
h) Reactive On-Demand maintenance and fault repairs on Audio Visual Installations including Meeting Rooms, Seminar Rooms and Auditoriums on a time and materials basis. See Appendix 1 for room/space listing.
i) Single national Helpdesk for fault logging and tracking.
j) Single national point of contact for quoting, procurement, project management and maintenance.
k) Consolidated Reporting on all activities carried out including installation and maintenance.
l) Inventory tracking.
m) Delivery and Storage prior to deployment of product catalogue equipment.
Tenderers must comply with the requirements of the RFT documentation and complete the Tender Response Schedule (Attachment B).
