The purpose of this notice is to invite you to attend an industry briefing regarding the RFT process the Commonwealth will undertake for the provision of the services. 

The services the Commonwealth will be seeking through the RFT include:

1. Relocation administration services, including approving relocation entitlements, collecting information to allow relocations to occur, case management, processing allowance payments and reimbursements, arranging travel and temporary accommodation.  The successful tenderer will manage itineraries, liaise closely with ADF Members and Defence civilians and will interface with whole of government travel and accommodation providers.  The provision of the services under the contract will need to be supported by an information technology system; and

2. Establishing and managing panels of removals providers and allocating work to the removal providers through the panel arrangements. Separate panels of providers are to be established for domestic removals (including bulk removals), domestic storage, vehicle removals; overseas removals and valet unpacking.  The successful tenderer will not conduct removals (or associated packing and unpacking services) itself.  Rather, these activities will be provided by the panel members under subcontracts with the successful tenderer.

The Commonwealth will hold the industry briefing at 10am AEST on 17 May 2018 in Canberra.  The venue for the industry briefing is as follows:

Through the industry briefing, the Commonwealth will provide preliminary information on the RFT process and the Commonwealth's anticipated requirements.  The purpose of the industry briefing will be to give industry advance notice of the proposed services and to enable industry to prepare for the forthcoming RFT, including considering options in relation to how each potential tenderer may deliver the services. 

Industry will also be given the opportunity to attend individual meetings with the Commonwealth for short question and answer sessions, following the briefing. 

The purpose of the one-on-one session will be for Industry:

a) to provide feedback on the approach Defence has outlined in the briefing and;

b) to seek any required clarification on the industry briefing material provided in the briefing.

To ensure that potential tenderers are treated fairly and equitably, the Commonwealth will allocate 30 minutes for each one-on-one session.

You are requested to register your interest to attend this briefing by 5 pm AEST on 14 May 2018 by emailing the contact officer nominated below with the name of your organisation and the names and contact details including email addresses for each person proposed to attend on your organisation's behalf. Each organisation will be limited to 5 participants. The Commonwealth may exclude a person from attending the industry briefing if the person has not registered by this date. 

You are also invited to register your interest to attend a one-on-one session with Commonwealth representatives regarding this procurement.  The dates and times for these sessions will be allocated by the Commonwealth after the date for registration above, but it is expected the sessions will occur on 17 and, if required, 18 May 2018. Again, each organisation will be limited to 5 participants. The Commonwealth may decide not to conduct a one-on-one session with an organisation that does not request a session as part of its registration for the briefing or that does not attend the briefing.

The decision to register is a matter for your organisation. Not attending this briefing or a one-on-one session will not exclude your organisation from participating in any subsequent RFT. You are under no obligation to register and any registration is done on a voluntary basis in accordance with the terms of this letter and at your organisation’s sole cost and risk.
