Electronic Document and Records Management System
One of the challenges faced by Future Fund Management Agency (FFMA) as we grow is to capture information and knowledge held by individuals and the organisation as a whole, and to make that available in a way that reduces organisational risk, enhances the efficiency and effectiveness of our organisation and importantly helps us become a “learning” institution.
As a Commonwealth government agency FFMA is also governed by a number of acts and standards relating to the storage and use of information, including the Information Management Framework (IFA) under the National Archives of Australia. The IFA and its supporting documents sets out a framework for the storage and disposal of information and applies to all information whether it is in hard or soft copy format.
To assist us to meet these challenges FFMA wishes to implement an Electronic Document and Records Management System (EDRMS). The objectives of this request are:
• to provide indicative pricing for an EDRMS;
• to assist us in developing a business case; and
• to assist us in determining a short list of suppliers who may be invited to participate in a Request for Proposal process.
Vendors and their partners, both small and large, and including vendors able to offer open source solutions or software as a service, are encouraged to respond to this Request for Information (RFI) with information on their products and solutions based on the desired outcomes described in this document, outlining how their products and services may best meet FFMA’s broad objectives.
The information provided by Respondents will be used to refine FFMA’s understanding of EDRM systems. This RFI has been framed to elicit responses relevant to the questions. A reference to “you” or “your” in this part means the Respondent.
