The Museum requires the successful tenderer to: 

•Provide door-to-door fine art freight services in accordance with the Tour Schedule. 

•Provide overall freight management services, including: 

     oHandling import/export documentation, fees and services, and terminal fees, and providing advice on additional requirements for international ports (to be reimbursed by the Museum).

     oProviding the Museum with vehicle and air freight load plans to assist the Museum with planning in advance of dispatch. 

     oManaging and facilitating any other processes, fees and charges associated with the freight services (to be reimbursed by the Museum). 

     oSupervising the consignment during loading, transhipping and unloading, including airside operations. 

     oCommunication with the Museum, its partners and tour venues, and relevant sub-contractors, during freight movements and to coordinate consignment delivery and uplift timing. 

     oRegular progress reports on consignment movement and immediate notification of any incidents. 

•Provide fleet vehicles with appropriate preservation and security conditions, specifically:

     oFreight/payload areas with climate and humidity control, air ride suspension, and high levels of cleanliness. 

     oSecurity features to protect high value/sensitive objects from theft, mishandling or other damage.

•Provide and/or arrange access to commercial fine art climate and non-climate storage facilities, locally and overseas to store exhibition objects, furniture, mutlimedia equipment and/or empty crates in appropriate preservation and security conditions in-between venues. 

•Provide personnel with experience in driving, handling and transporting museum/gallery objects and/or exhibitions, showing an understanding of museum operating environments and a considered approach to freight methods.

Tenderers must provide the following information in their response to this ATM: 

•Recommended approach to moving the consignment from Canberra to the UK and across Europe, including return to Canberra, addressing the following details: 

     oPlanned routes for each freight movement. 

     oNumber of road vehicles required, including fine art climate vehicles, and air-freight cargo units. 

     oProposed load timing. 

     oStaff allocation. 

     oSub-contractors or freight partners likely to be used based on the Tour Schedule. 

     oEquipment to safely load and move crates, including but not limited to as pallet trollies, dollies, trucks with tail lifts or forklifts, as required. 

     oAccess to commercial fine art freight storage facilities, locally and overseas, for storage of crates in-between venues.

     oOptions and pricing for courier oversight of consignment during transit. 

     oOverall and break down of pricing for each movement.

     oIndicative rates for use of storage facilities in accordance with the Tour Schedule.

•Previous experience providing fine art freight services in Australia and/or internationally, preferably with examples that match referees listed in the tenderer’s submission. 

•A copy of the tenderers’ standard terms and conditions or preferred contract template for consideration by the Museum. Note: The Museum has supplied a sample Commonwealth Contract with the ATM as the default agreement for procurement. 

Tenderers should provide an explanation where they are unable to provide the information requested. 

Tenderers are also encouraged to suggest alternative solutions/options to satisfy the Museum’s freight requirements for the Songlines tour.
